What AI document reading fills in
FlowNext works out what kind of document you uploaded, then reads the details that kind carries. Nothing you typed is overwritten.
- Applies to: Pro and Business plans
On Pro and Business (and during the free trial), FlowNext reads every PDF or photo you upload to an item's Documents tab. The row says “Working out what kind of document this is…” and updates by itself when the read finishes, usually within a few seconds.
Step 1: what kind of document is it?
If you picked Detect automatically, FlowNext first decides whether the file is an inspection certificate, a warranty, a manual, a receipt or something else. If you picked a type yourself, it skips this and trusts you.
Step 2: what each kind fills in
- Inspection certificate: who inspected it, whether it passed, the inspection date, the expiry date, and any maintenance the inspector recommended. The expiry sets the item's next inspection date.
- Warranty: the provider, what it covers, the start date and the end date.
- Receipt: the vendor, the purchase date, the invoice number and the total. If the item has no purchase price or purchase date yet, these fill them in.
- Manual: its title and the service intervals it lists.
- Other: a title, a one-line summary and the document's date.
Every kind also reads the equipment's make, model and serial number, and fills any of those the item is missing. The row shows what was read.
What it never does
- It never overwrites what a person typed — on the document or on the item. It only fills blanks.
- If the serial number on the document doesn't match the item's, it doesn't change the item; it shows a warning so you can check you uploaded the right file.
- It doesn't read amounts from repair invoices into the maintenance log; log those yourself. See Log maintenance and repairs.
Tip
A clear, flat photo of a certificate reads as well as a PDF. Glare across the dates is the usual cause of a missed field — fill it in by hand if so.
