Terms of Service

These terms are an agreement between you and [LEGAL ENTITY NAME] ("FlowNext", "we", "us") for the use of the FlowNext service at flownext.co (the "Service"). If you use the Service for a company, you agree to them on the company's behalf and confirm you're allowed to. If you don't agree, don't use the Service.

1. The Service

FlowNext lets an organization record its equipment, attach QR tags to it, and track where each item is, who moved it, its documents, maintenance and inspection dates. Members of an organization use it on the web; field users open tag pages on their phones.

We may change, add or remove features. If we remove something material to a paid plan, we'll tell you in advance.

2. Accounts and your team

• Keep your sign-in details and sign-in links private. You're responsible for what happens under your account.
• An organization's owners decide who joins it and in which role (owner, office or field), and can remove people at any time. Owners are responsible for the people they invite.
• You must be at least 16 and give us accurate information.

3. Your data

Everything your organization puts into FlowNext — equipment records, locations, documents, photos and the activity history ("Customer Data") — belongs to you. You give us permission to store, process and display it only to provide and support the Service, including sending documents to the AI service described in our Privacy Policy.

You can export your equipment list and complete history to CSV at any time, including after a trial or subscription ends. You're responsible for having the right to upload what you upload.

The activity history is deliberately permanent: entries can't be edited or deleted by users, so that it stays a reliable record. It is removed when the organization is deleted.

4. Tags and tag pages

Anyone who scans a FlowNext tag can open its page. Someone who isn't signed in to your organization sees only your organization's name and a sign-in form — not the equipment's details. Tags from the free QR sheet generator belong to no one until claimed by the account that printed them.

5. AI document reading and reminders

On plans that include it, FlowNext uses an AI model to read dates and details from documents you upload. It can misread them. Inspection due dates and reminder emails are an aid, not a guarantee: you remain responsible for inspecting, maintaining and certifying your equipment and for meeting any safety or legal requirement that applies to you. Check important dates against the source document.

6. Acceptable use

Don't use the Service to break the law or anyone's rights; to upload malware; to try to get into accounts or data that aren't yours; to probe, overload or disrupt the Service; to resell it without our agreement; or to copy it to build a competing product. We may suspend access that puts the Service or other customers at risk.

7. Trials, plans and payment

• New organizations get a 14-day free trial. No payment card is needed to start it.
• Paid plans are billed monthly in advance through our payment processor, Stripe, and renew each month until cancelled. Prices are listed on our pricing page.
• You can cancel at any time from Settings → Billing; the plan stays active to the end of the month you've paid for and isn't renewed. Except where the law requires otherwise, payments are not refunded.
• If a payment fails, the Service keeps working for a 7-day grace period. After that, or when a trial ends without a plan, your organization becomes read-only: you can still sign in, view and export everything, but not add, change or move equipment until a plan is active.
• We'll give at least 30 days' notice by email before a price change applies to your subscription.
• Prices don't include taxes; you're responsible for any that apply.

8. Ending use

You can stop using the Service at any time. An owner can ask us to delete the organization and its Customer Data by emailing support@flownext.co. We may suspend or end access for a serious or repeated breach of these terms, or for non-payment; where reasonable we'll tell you first and give you a chance to export your data.

9. Disclaimers

The Service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We don't promise the Service will be uninterrupted or error-free, or that tags, scans, AI readings or reminders will be accurate or delivered.

10. Limitation of liability

To the fullest extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, and our total liability arising out of these terms or the Service is limited to the amount you paid us in the 12 months before the claim arose. Nothing here limits liability that can't be limited by law.

11. Indemnity

You'll defend and indemnify us against third-party claims arising from your Customer Data or your breach of these terms.

12. Changes to these terms

We may update these terms. If a change is material, we'll email organization owners at least 14 days before it takes effect. Continuing to use the Service after that means you accept the new terms.

13. General

These terms are governed by the laws of [STATE], without regard to conflict-of-law rules, and disputes will be heard in its courts. If part of these terms is unenforceable, the rest still applies. Not enforcing a term isn't a waiver of it. You may not transfer these terms without our consent; we may transfer them as part of a merger or sale of the business.
