Upload an inspection certificate or other document
Add a certificate, warranty, manual, receipt or other file to an item, and which fields each type asks for.
- Open the item and go to the Documents tab.
- Choose the file: a PDF, or a photo taken on a phone (JPEG, PNG, WebP or HEIC), up to 20 MB.
- Pick the Type. On Pro and Business there is also Detect automatically, which lets FlowNext work it out.
- Fill in the fields that type asks for (below), then press Add document.
What each type asks for
- Inspection: Inspected by, Inspection date and Expires. These set the item's next inspection date. See How an item's next inspection date is worked out.
- Warranty: Warranty ends. A warranty never changes the inspection date.
- Manual, Receipt and Other: just the file.
The form shows only the fields for the type you pick. With Detect automatically it shows the inspection fields, in case it turns out to be an inspection certificate; anything you type there is kept only if it is one.
On Pro and Business
You can leave the fields blank: FlowNext reads the file and fills them in a few seconds later, without reloading the page. Anything you typed is kept. See What AI document reading fills in.
After uploading
The document is listed with a coloured stripe for its status (see What the coloured stripe on a document means). Click its name to open the file. Remove deletes a document uploaded by mistake; if it was the latest inspection certificate, the item's next inspection date is worked out again from what's left.
For which certificates each kind of equipment needs, see our equipment inspection checklist.
