Equipment tracking for facilities teams
Tools and safety equipment across every building you look after
Facilities teams keep tools, lifts and safety equipment spread across many buildings, each with its own inspection schedule. FlowNext puts every item, its location and its due dates in one list.

Inspections across buildings
Every extinguisher and ladder has a due date; the morning digest lists what falls due in the next 30 days, with where each item is.
Shared tools between sites
A lift or scrubber borrowed for another building is scanned when it moves, so it gets found and returned.
Records when asked
Inspection documents stay attached to each item, and the full history exports to CSV.
What facilities teams tag first
- Portable fire extinguishers
- Ladders and personnel lifts
- Floor scrubbers and carpet extractors
- Pressure washers
- Test meters
- Shop and power tools
Locations are whatever matches how you work: “Building A - janitor closet”, “Maintenance shop”, “Parking garage level 2”. Every move is recorded with who made it and when.
New accounts can start from a ready-made Facilities category set: Fire extinguishers, Ladders, Personnel lifts, Floor scrubbers, Test meters, and Power tools, each with a typical inspection or service interval you can change.
Inspections and due dates
For example, NFPA 10 calls for portable fire extinguishers to be visually inspected monthly and maintained annually. Record the annual maintenance against each extinguisher and the next date is tracked for you.
Many buildings, one inspection calendar
Set up each building, floor or closet as a location, and name a person in charge of each building. Every extinguisher, ladder and lift is listed where it hangs, and the equipment by location report shows each building with its count and who looks after it.
When the extinguisher service company does the annual maintenance, upload its report to each unit, or one photo of the tag. The next due date follows from it, and the morning email lists anything coming due in the next 30 days with its building and floor.
When an auditor or the fire marshal asks, the inspection compliance report lists every item that needs inspecting with its status — expired, expiring, missing a date, or compliant — the certificate on file and where it is, as a PDF.
If staff find a damaged ladder in Building C, they scan it and report it. It's marked out of service, and the office and the person in charge of Building C both get an email.

Questions
Does FlowNext record the monthly extinguisher check?+
A staff member can scan the tag and leave a record in the item's history. FlowNext doesn't yet have a dedicated checklist for monthly inspections.
Can I organise by building?+
Yes. Each building, floor or closet can be a location, and the equipment list filters by location.
Can each building have someone in charge?+
Yes. Each location can have a person in charge, shown on the reports. They're emailed when an item there is reported out of service.
